Bookings Overview

Learn how to create, manage, and track reservations in Basefloor.

Bookings

Basefloor's booking system manages the full lifecycle of a reservation — from initial inquiry to check-out. This page walks through every stage.

Creating a Booking

  1. Go to Bookings → New Booking
  2. Select the Property
  3. Choose the Check-in and Check-out dates
  4. The system shows available rooms for those dates — select one
  5. Search for an existing Guest or create a new guest profile
  6. Set the Number of Guests
  7. Apply any Special Requests (e.g., early check-in, extra bed)
  8. Review the Total Price (auto-calculated based on nightly rate × nights)
  9. Click Confirm Booking

You can also drag directly on the Availability Calendar to create a booking for a specific room and date range.

Availability Calendar

The Availability Calendar provides a visual grid of all rooms across time. It shows:

  • Booked nights (colored blocks)
  • Available nights (empty cells)
  • Check-in / check-out indicators
  • Guest name on each booking block

Use the property and date filters to navigate across different timeframes.

Modifying a Booking

To modify an existing booking:

  1. Open the booking from the Bookings list or by clicking it on the calendar
  2. Edit the relevant fields (dates, room, guest count)
  3. If the new dates affect pricing, you will see the updated total
  4. Click Update Booking

Changing dates may conflict with other bookings. Basefloor will alert you if the new dates are unavailable.

Check-In Process

When a guest arrives:

  1. Find their booking using the Search bar or the Today's Arrivals view
  2. Verify their identity
  3. Click Check In
  4. The room status changes to Occupied automatically

Check-Out Process

When a guest is leaving:

  1. Locate the booking via Today's Departures or search
  2. Review any charges (minibar, room service, damage, etc.)
  3. Click Check Out
  4. Room status changes to Cleaning; housekeeping is notified

Cancellations

To cancel a booking:

  1. Open the booking
  2. Click Cancel Booking
  3. Select the cancellation reason
  4. If a refund applies, record the refund amount

Cancelled bookings are retained in the system for audit and reporting purposes.

No-Shows

If a guest does not arrive by the agreed time, front desk staff can mark the booking as No-Show. The room becomes available again and the booking is archived.
